The Organization 

Ol Pejeta Conservancy (“Ol Pejeta”) is home to a key-one population of the Critically Endangered eastern black rhino, and to the last two northern white rhinos in the world. It is the only place in Kenya to see chimpanzees, in a sanctuary established to rehabilitate animals rescued from the black market. It has some of the highest predator densities in Kenya, and still manages a very successful livestock programme. Ol Pejeta also seeks to support the people living around its borders, to ensure wildlife conservation translates to better education, healthcare and infrastructure for the next generation of wildlife guardians. 

We are seeking a high-calibre, self-motivated and dedicated applicant to fill the position of Accounts Payable Accountant.

Role Summary 

The Accountants Payables Accountant will be responsible for managing the organisation’s payables processes, ensuring invoices and payments are accurate and timely, maintaining strong vendor relationships, and providing financial reporting and analysis to support decision-making. 

  1. Key Responsibilities

Accounts Payable Management: Oversee the accounts payable process by ensuring timely processing of invoices, accurate coding of transactions, and prompt responses to supplier enquiries. Verify that all VATable invoices include Electronic Tax Register (ETR) receipts and ensure compliance with internal financial controls.  

Invoice Verification & Reconciliation: Review and reconcile purchase orders (LPOs), goods received notes (GRNs), and supplier invoices to ensure accuracy in pricing, quantities, and terms. Identify and resolve discrepancies while maintaining proper documentation for audit purposes.  

Supplier Payments & Credit Management: Identify invoices due for payment, ensuring all supporting documentation is in place. Ensure payments are processed within agreed timelines. Monitor supplier statements, reconcile outstanding balances, and resolve aged creditor issues.  

Tax Compliance & Statutory Payments: Ensure correct deduction and posting of Withholding Tax (WHT) and Value Added Tax (VAT) at the point of invoice entry. Prepare and submit tax returns, including VAT, WHT, and advance tax, while ensuring timely remittances to regulatory authorities.  

Financial Reporting & Reconciliation: Prepare and post monthly journals, including accruals and prepayments, ensuring proper supporting documentation. Perform balance sheet reconciliations, investigate discrepancies, and provide clear commentary on account movements that are payable-related. 

Fixed Asset & General Ledger Management: Maintain an up-to-date fixed asset register by ensuring postings are done to the correct ledgers as per the approved capex expenditure and all documentation is in place prior to posting. Also ensure depreciation disposals charges are correct monthly. Overall, ensure accuracy in asset classification and compliance with financial reporting standards.  

Compliance & Audit Support: Ensure all statutory payments are completed within stipulated deadlines and maintain proper documentation for audit purposes. Support internal and external audits by providing reconciliations, reports, and necessary financial documentation. 

Compliance and Risk Management: Ensure all payables transactions comply with company policies, internal controls, and statutory requirements (e.g., VAT, withholding tax). Maintain proper documentation and an audit trail for all payments. Identify and mitigate financial and operational risks related to payments and vendor management. 

Vendor and Stakeholder Management: Maintain an updated supplier database with accurate payment details and terms. Respond to supplier enquiries and resolve disputes promptly and professionally. 

Cash Flow and Budget Support: Provide timely input on projected payments for cash flow forecasting. Track actual payments against budget to support expenditure monitoring. Recommend improvements to enhance payment efficiency and cost control. 

Team Leadership and Process Improvement: Supervise and mentor accounts payable assistant staff and ensure structured processes are maintained. Recommend process automation and control enhancements to strengthen efficiency and compliance. 

Other Responsibilities: Handle additional duties as assigned by the supervisor, including process improvements, system enhancements, and support for financial projects. 

Any additional duties as may be assigned from time to time. 

  1. Qualifications, Experience and Skills:

(a) Qualification 

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field. CPA- Part III. 

Active progression towards being a registered member of the Institute of Certified Public Accountants of Kenya (ICPAK) will be an added advantage. 

(b) Experience 

Minimum of 3–5 years of progressive experience in a high-volume accounts payable environment, ideally spanning both profit and non-profit/NGO sectors. 

Demonstrated expertise in budgeting, compliance, and donor reporting 

(c) Key Skills and Qualities;
